Autoresponder

Autoresponder Campaigns allow you to automatically send review request emails to customers after specific order events, such as delivery or refunds. The goal is to increase review volume while staying compliant with Amazon’s communication rules.

sellerboard supports both Amazon’s official “Request a Review” email and custom email templates, giving you flexibility depending on how much control you want over the message and timing.

Use Autoresponder Campaigns to:

  • Systematically request reviews without manual work
  • Control when and to whom emails are sent
  • Localize messages per marketplace and language
  • Avoid sending messages to sensitive or excluded orders

How Autoresponder Campaigns work

An autoresponder campaign defines:

  • Which orders are eligible
  • Which products or marketplaces are included
  • Which email template is sent
  • When the email is triggered
  • Which campaign takes priority if multiple campaigns apply

Once a campaign is active, sellerboard continuously evaluates new orders and sends emails automatically when the defined conditions are met.


Creating an autoresponder campaign

How do I create a campaign?

  1. Go to Autoresponder → Campaigns.
  2. Click Add campaign.
  3. Enter a campaign name.
  4. Define targeting rules (orders, products, marketplaces).
  5. Select or create an email template.
  6. Configure timing and triggers.
  7. Set campaign status.
  8. Save the campaign.

The campaign becomes available immediately, but only sends emails once activated.


Campaign statuses

Each campaign can be in one of three states.

Inactive

The campaign is saved but does not send any emails.

Test

The campaign sends one test email per day to you, not to customers.
This mode is used to validate templates, timing, and logic.

Active

The campaign sends real emails to customers based on the configured rules.


Targeting rules and filters

Autoresponder Campaigns support granular targeting to control who receives emails.

You can filter campaigns to:

  • Include only FBA or FBM orders
  • Include or exclude repeat customers
  • Exclude promotional orders
  • Exclude customers with neutral or negative feedback
  • Target specific products, SKUs, or marketplaces

These rules help prevent over-messaging and protect seller performance metrics.


Email templates

Each campaign uses one or more email templates.

Amazon template vs custom template

Amazon template
Uses Amazon’s official “Request a Review” email.
The message is sent by Amazon and has high trust and compliance.

Custom template
Fully customizable. You control:

  • Subject line
  • Email content
  • Placeholders
  • Sending logic

Custom templates allow more flexibility but require careful compliance with Amazon’s messaging rules.


Placeholders and dynamic content

Templates support placeholders that automatically insert order- or customer-specific data.

Common placeholders include:

  • Customer name
  • Product name
  • Review link
  • Seller feedback link

These placeholders are replaced automatically when the email is sent.


Multiple templates and triggers

A single campaign can contain multiple templates, each triggered by a different event.

For example:

  • One template sent after delivery
  • Another template triggered by a refund or return

This allows you to adapt messaging to different customer situations without creating separate campaigns.


Campaign priority

When a product is included in more than one campaign, sellerboard uses campaign priority to decide which email is sent.

  • Priority is defined as a number
  • 1 is the highest priority
  • Only the highest-priority campaign sends an email for a given order

This prevents customers from receiving multiple review requests for the same order.


Preventing emails for specific orders

How do I block an order from receiving emails?

  1. Go to the Orders tab.
  2. Find the relevant order.
  3. Add the order to the Blacklist.

Blacklisted orders are excluded from all autoresponder campaigns, even if they otherwise match the rules.


Editing or deleting campaigns

Can I change a campaign later?

Yes.

From the Campaigns table, use the Actions (⋯) menu to:

  • Edit campaign settings
  • Change campaign priority
  • Change status (Active / Test / Inactive)
  • Delete the campaign

Changes take effect immediately for future orders.


Localized and multi-marketplace campaigns

Autoresponder Campaigns can be scoped to specific marketplaces and countries.

You can:

  • Create separate campaigns per marketplace
  • Use different templates per language
  • Align messaging with local customer expectations

This is especially useful for sellers operating across multiple Amazon regions.
